eDiscovery cost calculator: per-GB hosting vs a flat rate

Type in the size of your matter and the hosting rate on your invoice. The calculator shows the monthly difference and the volume at which a flat rate starts to win.

Your matter

Rough figures are fine. You can adjust everything.

Total ESI to be processed and hosted
Litigation frequently runs longer than expected
Attorneys, paralegals, reviewers, experts, co-counsel
A flat instance hosts unlimited matters at no extra cost
Common exhibits, policies, custodian overlap. Stored once here, billed repeatedly on per-GB
Adjust the per-GB assumptions
Processing, per GB (one-time)
Hosting, per GB per month
User license, per person per month
Production export, per GB
Share of data produced (%)
Project management, hours per month
Project management, per hour
AI / analytics surcharge, per matter per month
Format conversion / TIFFing, per GB

Defaults sit at the midpoint of publicly reported industry ranges. Your own vendor's rates may differ. Put them in.

What does eDiscovery cost at 25, 100, 250 and 500 GB?

Computed from pricing.json at the defaults above: 3 matters over 18 months, 6 users, $10 per GB per month hosting, $6 per GB processing, $95 per user per month, 4 project-management hours a month at $175. Flat rate is the 12-month term. Change any assumption above and the tool moves; this table does not.

How to read the result

Hosting is the fee that compounds. Processing is charged once; hosting is charged every month the matter is open, on every gigabyte, including data that will never be reviewed. That is why the comparison is drawn on hosting alone: it is the line that determines the shape of your bill over a matter’s life.

The per-GB side adds processing, hosting, user licenses, exports and project management at the market rates above, because those are the lines a per-GB vendor typically bills. The Kavarn side is the platform rate and the one-time ingestion fee, plus a storage bundle where the deduplicated volume passes the instance’s included storage. It adds no processing, license or export charge, because the platform rate includes them, and no project-management hours; support beyond what is included bills at the hourly rate on the pricing page.

The eDiscovery cost guide lists every fee this calculator models, and the per-GB guide works through what one gigabyte costs over a matter’s life. The Fee Field Guide decodes each of those fees one by one, and our own pricing page publishes the flat rate this tool compares against.

Where the market rate comes from

The default of $10 per GB per month is the midpoint of published 2026 ranges, which run roughly $5 to $15. Your own invoice is the better source. If it lists a single hosting or storage line, divide the monthly amount by the gigabytes hosted. The cost per GB guide works the same arithmetic through one gigabyte’s life, and per-GB pricing explains the model itself.

Where these figures come from

The hosting range of $5 to $15 per GB per month is a commonly published market rate. The review rate, reviewer hourly rate and cull percentage in volume.json are internal defaults with no published source, and the month-to-month figure is computed from our own published rate.

Common questions

What does this calculator compare?

Two estimates for the same matters over the same term. The per-GB side adds processing, hosting, user licenses, exports and project management at market rates you can change. The Kavarn side is the platform rate and the one-time ingestion fee, plus a storage bundle where the deduplicated volume passes the instance's included storage.

Where does the default hosting rate come from?

The default of $10 per GB per month is the midpoint of published 2026 ranges, which run roughly $5 to $15. Your own invoice is the better source. If it lists a single hosting or storage line, divide the monthly amount by the gigabytes hosted and enter that.

Why does the calculator focus on hosting rather than processing?

Because hosting is the fee that compounds. Processing is charged once per gigabyte on ingestion; hosting is charged every month the matter is open, on every gigabyte, including data that will never be reviewed. Over a matter's life the recurring line is what determines the shape of the bill.
